When you subscribe to our nanny payroll service, everything you need is taken care of accurately, professionally, and on time. We manage everything to do with your payroll, from payslips and payroll processing and tax and deductions. Here’s what’s included in your service:
Payslip & Payroll Processing
- Weekly payslips are processed for each Friday.
- Monthly payslips are processed on the last Friday of the month.
- Printed hard copy payslips are posted to you.
- Overtime and bonus payments are processed with tax calculated.
- Salary increases implemented.
Employee Management
- New nanny starters processed (with or without a P45).
- Leavers processed with a P45 issued.
- End-of-year P60 provided.
Late subscription and backdated employment solutions.
Statutory Pay Handling
- Statutory Sick Pay (SSP) processed and advised.
Statutory Maternity Pay (SMP) is processed with reclaim support
Tax & Deductions
- Student loan deductions are made when instructed by HMRC.

Nanny Leaving & Employee Changes
Nanny Leaving
When a nanny leaves your employment, you must notify us by completing our Staff Leaving Form. As the employer, it is your legal responsibility to comply with HMRC regulations and to provide your employee with a P45.
Once we receive the completed Staff Leaving Form, Nannywage Ltd will:
- Process the leaving P45 on your behalf
- Send the P45 either directly to the nanny or to you, depending on your instructions
- Provide both you and the nanny with confirmation that the leaving procedure has been filed with HMRC
Employee Leaving
If your current nanny leaves, your remaining subscription is automatically put on hold until a new nanny starts employment with you.
A New Nanny Starting
Ready to hire a new nanny? Complete our Payroll Form to start payroll for your new employee.
Need a contract of employment for your new nanny? Complete and submit our Contract Questionnaire Form, and we will prepare a contract for you.
Employer Liability Insurance
It is a legal requirement to insure your workers against liability or disease. You could be fined £2,500 for every day that you do not have cover. It is vital you protect yourself from damages and costs arising from injury to staff at work. Not only covering you from the injury, but also from potential future loss of earnings. Minimum cover should be £5 million.
Before you purchase a policy, we recommend you check with your home contents provider, as in the vast majority of cases, employer liability insurance cover is included in your home contents policy. The employer should also check that the nanny has insurance to cover any damage the nanny may cause in the course of employment duties.
Nanny Public Liability Insurance
If the nanny is registered with an organisation, the nanny is normally required by the organisation to have public liability insurance. If the nanny does not belong to a child care organisation, they should still insure themselves to protect against any damages or costs.

How do I set up payroll for my nanny?
To initiate payroll services, please complete the following forms:
- Subscription Form: Choose between monthly or weekly payroll services.
- Payroll Form: Provide details about your nanny and employment terms.

Do I need to register with HMRC?
Yes, as an employer, you are legally required to register with HMRC and operate a PAYE scheme. Nannywage Ltd will handle this registration on your behalf.
What are my responsibilities as an employer?
As an employer, you must:
- Provide payslips to your nanny
- Deduct and pay the correct amount of tax and National Insurance
- Make timely payments to HMRC
- Keep accurate records of your nanny’s pay and deductions
What if my nanny leaves during the subscription?
If your nanny leaves, your subscription will be paused until a new nanny starts. The subscription remains valid across tax years. Upon completion, you’ll receive a renewal reminder with the final payslip.
How do I renew my subscription?
Send a cheque payable to Nannywage Ltd to: Nannywage Ltd 25 The Highway Sutton, Surrey SM2 5QT. Alternatively, pay online via Bank Transfer or Credit Card using our Payment Form. Please write your client number on the back of the cheque.
What if I only need payroll for a short period?
We offer monthly subscriptions at £30 (inclusive of VAT) for short-term needs. This includes full compliance but does not include an employment contract.
